Email

MarkBook can import and store multiple parent and student Email addresses. MarkBook has an internal Email server that fires off individual messages to selected persons from MarkBook's class folder. Use MarkBook's ability to rapidly and conveniently send bulk or individual Email to the entire class, to parents, to selected groups, or to selected individuals. MarkBook also has an Email report card described in section 9. 


From the Main Operating Screen, section 3-1, click on the Class button. You will get the following screen. Note the fields for student and parent Email addresses. Collect these addresses from students and fill in these fields as time permits. Or, import them from your SIS.

There are two styles for Email addresses. The first uses the "raw" Email address for each recipient e.g. The second (shown below) has the recipient's name plus the address. Note the style - each raw address is sandwiched between < and > bracket symbols. DO NOT USE PUNCTUATION SYMBOLS IN AN Email ADDRESS! Periods, semi-colons, and commas may interfere with the Email delivery processes on some servers. For instance, the salutation Mr & Mrs does not contain periods in the example shown below.

Demographic Data Screen

It is highly unlikely that you will get Email addresses for every student and parent in each class. Some don't have Email and a few others are unwilling to provide their addresses. However, keep asking. Experience indicates that more addresses will come in each time you send a message to all students and their parents. Students adore getting Email and will usually supply an address very willingly. Ask all parents on Parent Night for their Email addresses. Make a few telephone calls if necessary.

To begin MarkBook's Email process, click the Email button at the center right in the previous image. Or click the Email button on MarkBook's Main Operating Screen, as in section 3-1. You will get the following screen. To select those persons to whom you wish to send Email, click on the names to highlight them. To select all students, use the Select All button. To clear your selection, use the Clear All button. At the upper left, there’s a pair of check cells for Parents and Students. MarkBook will send mail to your selection - you can specify both simultaneously as in this screen. Once selected, the names of the chosen individuals will be highlighted. To remove anyone, click on the name.

Type a Subject and a Message. Note that a spell checker operates on the window and underlines words not in its dictionary as in this example. Heed the warning at the lower left before you send the message. Before sending, have a colleague read and re-read your Email memo to ensure that it is free of spelling, syntax, and other errors/defects. Your professional image is on the line - it will suffer if there are errors.

You’ll have to enter the SMTP Host address under MarkBook’s Setup. Note that this has been done for this example - the word Ready appears. Once the SMTP is entered, and you’re connected to the Internet, click the Send button. Any composed message will go to all selected individuals who have a valid Email address. If you’d like a confirmation copy of each message, click the Send a copy to me too cell.
