Mayet - MarkBook Export File


Mayet is a web-based Student information System that generates export files for MarkBook users. Developed with industry standard tools in the Java programming language, Mayet can operate under most common operating systems and utilize most JDBC-compliant databases, including Microsoft SQL Server. CREATING A MAYET EXPORT
The following screens show how to generate an export file from Mayet for MarkBook. The resulting file is a .csv (comma separated values) file that will import classes into MarkBook.

Begin by logging on and querying Mayet for the list of students they want to work with. This could be a single student, a class, or the whole school (if the whole school is selected, all teachers will be able to build all classes electronically from the same file). Then select the student reporting function. Within this selection are a number of options presented in a vertical list in alphabetical order as in the next image.  Click to highlight the Export - MarkBook File Layout report:


The Mayet user can then employ the interactive report viewer or the export batch report generator to build the MarkBook file. To use the interactive viewer, click the Report button in the previous image to get a screen view of the data about to be exported. If the view is OK, save the report as a .csv file to the local computer in a known location. As in the next image, select .csv (data only) from the Export Format drop-down menu. Select a file name and target location where the file will be stored in the Save As line. The Search button enables the user to browse to a desired location. We recommend a local file location (i.e. on C: of the workstation) but it could be saved to any network location where the teachers are allowed access. Do not save the file in a location where students can access it.


To by-pass the preview, click the Export button from the Mayet Reporting menu (see the first image above) and save the file as csv; in the File Type window as follows. Create any suitable name in the File Name window and click OK.


Whichever method above is used, Mayet will generate a .csv file for the selected group of students. The file will contain a header row as its first record. See the twelve header names in the next image. If it's a whole-school extract, each student will be repeated in the file once for each course being taken. In the case of an elementary extract, there won't be any data in field 12.

IMPORTING SECONDARY CLASSES
When importing Mayet data into MarkBook classes from this file, match the fields as per the following image. This is a whole-school file so the filter for a specific class is based on a course code in field 12. General details on this import process are in section 4-4. Note that the DOB is in YearMMDD format selected in the lower left of this frame. The course being imported is PHER2F01. Since the Mayet file has brackets around the section numbers, it's necessary to use PHER2F(01) in MarkBook's Import If #1 contains line. There are 1681 records in this sample file as indicated at the center left in the image. Use the up/down arrows to move through the records if you wish. This is useful to view the formats for fields five and twelve. Once the fields are matched, and the desired course/section is typed in, click the Import Students button at the lower right and MarkBook will extract just those students taking the specified course.

IMPORTING ELEMENTARY CLASSES
If the Mayet file is for an elementary school, each student will appear only once in the file and there won't be data in field 12. In this case, match the fields as per the following image.

Enter the desired Home Form / Home Room in MarkBook's Home Form contains line and click Import Students at the lower right. MarkBook will build a class list with only those students in the selected Home Room. To import a Phys Ed class, typically all students of one gender in two Home Rooms, enter both (e.g. 5A and 5B) in the two Home Form cells. Match MarkBook's Import If #1 against Mayet's Gender field. Put M or F in MarkBook's Import If #1 contains line. Now MarkBook will import all males OR all females in either of the two selected Home Rooms.

RE-RUNNING THE MAYET EXPORT
When running the Mayet/MarkBook Export a second or subsequent time, it's tempting for the user to give it a different file name. We recommend against this. Instead, give it the same name as before and over write the original .csv file. This makes it much easier for teachers to update their classes from the newer Mayet file as described in section 4-8.

If your school is a Mayet client, and importing data into MarkBook is new to the staff, then we recommend copying four sections of this manual for staff members - this page, section 4-4, section 4-5, section 4-8. As with any page in our web sites, all of our clients have permission to print and make copies for communication and training purposes.
