Windsor to MarkBook Export Files

Windsor by HARTS Systems Ltd. has numerous clients in Canada, the USA and China. Windsor exports files specifically for MarkBook and imports files from MarkBook. HARTS is also a MarkBook distributor. To contact HARTS:

Windsor has both DOS and Windows versions of it's Student Information System. If you are using Windsor, follow the instructions below to create MarkBook export files in folders for each teacher. Re-run this export as often as desired to enable teachers to update their MarkBook classes.



WINDOWS SYSTEM EXPORT

Log on to Windsor. From the main menu, choose Grades, then Data entry, then Teacher disks, then MarkBook:

The resulting Send class lists to MarkBook screen has two tab options at the top. On the Select teachers tab, choose the teachers who will receive the exported data. Note that there is a Select all button. Pick the Terms at the lower left and then click the Set options tab at the top.

Set options enables the user to select a target location (browse) for the export files. We recommend saving the lists in a location unavailable to students, and creating separate files for each teacher as per this example.

Once the options are selected, click OK. This will generate a folder for each selected teacher in the defined location, and create a file with all students for each teacher in it. Windsor will simultaneously generate a course file for each teacher and a comment bank. MarkBook users may import each class from their personal file as below.

 


DOS SYSTEM EXPORT

Log on to Windsor. From the main menu, select Grades, then Data entry, then Teacher disks, then MarkBook:

On the Teacher names screen, choose the teachers to receive the exported data. Note that there is a Select all teachers option at the top. This screen shows one quarter of the teachers in this school - hence the 1/4 indicator at the lower right.

The DOS version of Windsor will create the same files and folder structure as the Windows version. See how to import calsses into MarkBook as below.


IMPORTING CLASSES FROM WINDSOR INTO MarkBook

Whether using the Windows or DOS versions, the product of Windsor's export for MarkBook is a series of folders created in the target location as per the following example. In this case, one folder was generated for each of the five teachers selected in the Windows version Select teachers screen shown above. Note that each folder is named with the teacher's surname and the teacher number. Numbers less than 3 characters will zero fill.

Double click on any teacher's folder to view the contents. There are three files in each as per the following image.

The MYSCHED.TXT file contains all of the course codes and sections for this teacher. Consult this file if the courses are not known. COMMENTS.TXT is a comment bank. For creating or updating classes, use the MB000101.TXT file. It's an ascii file with one student per record (row)- see the Notepad view of such a file following. Tabs separate the fields within each record. There is a header row highlighted in blue in this example. All of this teacher's students are listed in class groups and then alphabetically by surname within each group. The last field, the Class Code, is used to import individuals in any specific class.

Launch MarkBook and begin creating a new class. Click the Import Students button and browse to find and open the appropriate Windsor MB000101.TXT file. Match the Available Fields from the right column in MarkBook as per the following image. In this example, there are 108 students in three classes for this one teacher. Align MarkBook's Import If #1 field against the Class Code as shown and type the course code into the Import If #1 contains cell. In this case, the teacher wishes to import those students taking MA11-831-5. Careful about the DOB format selection in the lower left. It must be Year/Mth/Day to work properly. Once the fields are matched, and the course code/section is specified, click the Import Students button at the lower right and MarkBook will select only those students taking the specified course. If the course is not specified, MarkBook will import all students in the file to a maximum of 200 individuals. If the course is typed incorrectly, MarkBook will import 0 students.
